How Arvelane support works, step by step
From your first call to ongoing monthly support — a clear, structured process designed to make delegating feel easy, safe and genuinely useful from week one.
Six steps from first call to full momentum
Structured enough to be dependable. Simple enough to start this week.
Discovery call
A free, friendly consultation. We listen: what you do, which channels you sell and serve customers on, what's piling up, and what 'a weight off' would look like.
Understanding your needs
We turn the conversation into a simple support plan — the tasks to delegate first, the systems involved and the outcomes to aim for.
Choose your package
Pick the monthly hours that fit — from 5 hours to 30+. We recommend honestly; starting smaller and scaling up is completely fine.
Onboarding & secure access
We agree ways of working, document your preferences, and set up secure access to the accounts and tools you want us in — using best-practice credential sharing, never insecure shortcuts.
Ongoing support begins
Send tasks by email or your preferred channel. We prioritise, deliver and keep you updated — with a regular rhythm for recurring work so things happen without being asked.
Tracking & reporting
Your hours are logged transparently. Each month you get a clear summary of what was done and where time went, plus a check-in to adjust priorities.
Communication that fits around you
Delegation only works when you always know where things stand. As standard, you get:
- One point of contact — no being passed around; one person who knows your business
- Your channel, your rhythm — email as standard, with task updates at a frequency that suits you
- Task requests made easy — send work as it comes up, or set recurring tasks that just happen
- Transparent time logging — hours tracked against tasks, visible in your monthly summary
- Monthly review — a short check-in to celebrate what moved, and re-aim the hours for next month
Delegating access, done properly
Working inside your systems is a responsibility we take seriously — so our onboarding builds security in from day one.
Least-privilege access
We only request access to the systems needed for your tasks — and recommend staff or delegate accounts over shared logins wherever platforms support them.
Confidential by default
Your business information, customer data and commercial details stay private. We're happy to sign a confidentiality agreement as part of onboarding.
Documented & reversible
Every access granted is recorded, so offboarding is clean: if anything ever changes, you can see and revoke exactly what we had.
Frequently asked questions
Quick answers to the things people usually want to know.
How do task requests actually work day to day?
Simply send tasks as they come up — email works perfectly, or another channel if you prefer. We confirm, prioritise and deliver, flagging anything unclear before we start. Recurring tasks are scheduled once and then just happen each week or month.
What happens if I don't use all my hours?
We'll tell you — transparently — and help you re-aim them. Because hours cover every service, there's almost always something valuable to use them on, and we'll suggest options rather than let them quietly disappear.
What if I need more hours mid-month?
No problem. Additional hours are available at your package's effective rate, or we can move you to the next package if the need looks permanent. We'll always check with you before exceeding your agreed hours.
How do you keep track of time?
Time is logged against each task as we work. Your monthly summary shows tasks completed and time spent, so you can see exactly what your retainer delivered.
Can we change how we work together once we've started?
Of course. The monthly check-in exists precisely for that — priorities, processes and communication styles all evolve as we learn your business.
